English Olympiad operates www.englisholympiadglobal.com and its related registration, competition, and community platforms (the "Platform"). This Privacy Policy explains what information we collect, how we use it, and the choices you have, when you visit our website or take part in the Selection Round, Theater Round, Grand Finale, Campus Ambassador Program, or any other English Olympiad program.

By using the Platform or registering for any English Olympiad event, you agree to the practices described in this policy. If you do not agree, please do not use the Platform.

1. Who This Policy Covers

English Olympiad is a global English-language competition with participants across 195 countries, spanning multiple age and grade categories. Many of our participants are minors. This policy applies to:

Students and participants registering for Selection Rounds, Theater Rounds, or the Grand Finale
Parents and guardians registering on behalf of a minor
Schools and institutions submitting group registrations
Campus Ambassadors, adjudicators, mentors, and volunteers

2. Information We Collect

a) Information you provide directly

Full name, date of birth or age category, grade/class, and gender (where applicable)
School or institution name and location
Contact details: email address, phone number, mailing address
Parent/guardian name and contact details, for participants under 18
Payment details submitted for registration fees (see Section 4)
Photos, videos, essays, or performance recordings submitted as part of competition rounds
Campus Ambassador or adjudicator applications, including résumés or references where submitted

b) Information collected automatically

IP address, browser type, device information
Pages visited, time spent on the Platform, referring website
Cookies and similar tracking technologies (see Section 6)

c) Information from third parties

Confirmation of payment from our payment processors
Information passed to us by a school or institution registering students on their behalf

3. How We Use Your Information

We use the information we collect to:

Process registrations and manage participation across Selection Rounds, Theater Rounds, and the Grand Finale
Verify eligibility (age, grade, school affiliation)
Communicate updates, schedules, admit cards, and results
Process payments and issue receipts
Evaluate and score submissions
Coordinate logistics for in-person events (venues, seating, adjudication)
Administer the Campus Ambassador Program and volunteer/adjudicator roles
Publish results, certificates, and honor rolls
Promote the English Olympiad through photos, videos, and testimonials from events (see Section 5)
Improve the Platform and understand how it's used
Comply with legal obligations and enforce our terms

We do not use participant data, especially data belonging to minors, for targeted advertising.

4. Payment Information

Registration fees are processed through third-party payment providers, which may include bKash, aamarPay, PayPal, or similar services depending on your country. We do not store your full card number, mobile financial services PIN, or banking credentials on our servers — these are handled directly by the payment provider under their own security and privacy standards. We retain a record of the transaction (amount, date, status, and reference ID) for accounting and support purposes.

Registration fees are non-refundable. Once a registration fee has been paid, it will not be refunded under any circumstances, including but not limited to withdrawal from the competition, ineligibility discovered after registration, or missed rounds.

5. Photos, Videos & Publicity

English Olympiad events — including Theater Rounds and the Grand Finale — are documented through photography and video for promotional, archival, and media purposes. By participating, you (or your parent/guardian, if you are a minor) consent to English Olympiad capturing and using such photos, videos, names, and quotes across our website, social media, and marketing materials, unless you notify us otherwise in writing before the event using the contact details in Section 12.

If you would like a specific photo or video removed from our public channels, contact us and we will make reasonable efforts to accommodate the request.

6. Cookies & Analytics

We use cookies and similar technologies to keep you logged in during registration, remember your preferences, and understand site traffic through analytics tools. You can disable cookies through your browser settings, though some parts of the Platform (such as multi-step registration) may not function properly without them.

7. Children's Privacy

Many English Olympiad participants are under 18, including young children in our earliest age categories. For these participants:

Registration must be completed or approved by a parent, guardian, or the participant's school
We collect only the information necessary to administer the competition
We do not knowingly allow minors to independently create public profiles or communicate directly with strangers through the Platform
Parents/guardians may contact us at any time to review, correct, or request deletion of their child's information (see Section 9)

If we learn that a minor has submitted personal information without appropriate parental or school consent, we will take steps to delete that information.

8. How We Share Information

We do not sell participant data. We may share information with:

Schools and institutions, where a student was registered through them
Adjudicators and evaluation panels, limited to what's needed to score a submission
Payment processors, to complete transactions
Service providers, such as hosting, email delivery, and spreadsheet/database tools we use to manage registrations internally
Legal authorities, if required by law or to protect the safety of participants or the integrity of the competition

Any third party we work with is expected to handle your data securely and only for the purpose we've engaged them for.

9. Your Rights and Choices

Depending on your country of residence, you may have the right to:

Access the personal information we hold about you or your child
Request correction of inaccurate information
Request deletion of your information, subject to records we're legally required to keep
Withdraw consent for photo/video use in future publicity
Opt out of non-essential email communications

To exercise any of these rights, contact us using the details in Section 12. We will respond within a reasonable timeframe.

10. Data Retention

We retain registration and competition records for as long as needed to administer the current season, resolve disputes, issue certificates, and maintain historical records of past champions and participants. Payment records are kept as required by applicable financial regulations. You may request earlier deletion of non-essential personal data at any time.

11. International Data Transfers

Because the English Olympiad operates across 195 countries, information collected from participants may be transferred to and processed in other countries where our systems and service providers operate. We take reasonable steps to protect your information regardless of where it is processed.
